 JOB SUMMARY:

 

v  To be responsible for supervising the production lines.

v  To set up machines (calibration and cleaning) to start the production process.

KEY RESPONSIBILITIES

 

v  Supervise assigned aspects of the production line, ensuring that all orders are executed to Clients’ requirement.

v  To set up machines ( calibration and cleaning) to start the production process

v  Feed raw materials to the semi –automated machines

v  Adjust machine settings from time to time

v  Take measurement for cutting and shaping raw materials

v  Take responsibility for the coordination of all raw materials.

v  Ensure that production schedules are executed within the agreed time frame.

v  Work with the Production Manager to coordinate materials and manpower planning for production.

v  Keep an up to date inventory of all Machinery and tools’ inventory and undertake the routine maintenance of all machinery.

v  Plan and organize maintenance of equipment

v  Identify faults, investigate production problems and repair equipment quickly and efficiently

v  Responsible for machines’ start-up and shut-down schedules to ensure minimum loss of production time and profits

v  Monitor production at every stage of manufacturing process.

v  Ensure that all furniture produced meet the company’s quality standards.

v  Troubleshoot design and/or manufacturing problems as they arise.

v  Work with Production Manager to ensure the optimization of the production process, following-through manufacturing and productivity improvement plans.

JOB TITLE: HR/ADMIN OFFICER

JOB SUMMARY:

 

Reporting to the head of HR/Admin, the HR and Admin Officer will be responsible for implementing the Company’s HR Programs and Policies as it relates to Employee Relations, Compensation, Benefits, Safety, Learning, Performance and Staffing levels in line with the company’s strategic goals. The HR and Admin Officer will also be responsible for providing dedicated HR client service, advice and guidance to the line manager and individual staff members.

 

KEY RESPONSIBILITIES

 

Training & Development

v  Provide necessary learning and materials to managers and employees including workshops, manuals, employee handbooks, and standardized reports.

v  Support the implementation of the performance management system that includes performance development plans (PDPs) and employee development programs.

v  Establish an in-house employee training system that addresses company training needs including training needs assessment, new employee onboarding or orientation, management development, production cross-training, the measurement of training impact, and training transfers.

v  Assists managers with the selection and contracting of external training programs and consultants.

Recruitment

v  Establish and enable the standard recruiting and hiring practices and procedures necessary to recruit and hire a superior workforce.

v  Support the interview management and executive position candidates in conjunction with the Head HR and MS Executive.

v  Provide Support on employee selection committees or meetings. Help Manage staff discipline, severance and grievances

 

Employee Relations

v  Formulate and recommend Human Resources policies and objectives for the company on employee relations and employee rights.

v  Partners with management to communicate Human Resources policies, procedures, programs, and laws.

v  Determine and recommend employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation. Conduct periodic surveys to measure employee satisfaction and employee engagement.

v  Help coach and train managers in their communication, feedback, recognition, and interaction responsibilities with the employees who report to them. Makes certain that the managers know how to successfully, ethically, honestly, and legally communicate with employees especially on issues of performance management (e.g. appraisal and feedback systems).

v  Conducts investigations when employee complaints or concerns are brought forth.

v  Monitor and advise managers and supervisors in the progressive discipline system of the company. Monitors the implementation of a performance improvement process with non-performing employees.

v  Review, guide, and approve management recommendations for employment terminations.

v  Staff welfare and industrial relations including medicals

v  Support the implementation of company safety and health programs.

v  Support the development of benefit orientations and other benefits training for employees and their families.

v  Support the HR Head in recommending changes in benefits offered, especially new benefits aimed at employee satisfaction and retention.

 

Compensation & Benefits

v  Support the establishment of the company wage and salary structure, pay policies, and oversees the variable pay systems within the company including bonuses and raises.

v  Carry out competitive market research to establish pay practices and pay bands that help to recruit and retain superior staff.

v  Monitor all pay practices and systems for effectiveness and cost containment.

v  Lead participation in at least one salary survey per year. Monitors best practices in compensation and benefits through research and up-to-date information on available products.

v  Ensures prompt payment of workmen’s compensation/Group life claims

 

Legal

v  Direct the preparation of information requested or required for compliance with labor laws.

v  Protect the interest of employees and the company in accordance with company Human Resources policies and governmental laws and regulations. 

 

Organizational Development

v  Help design, implement and manage a company-wide process of organization development that addresses issues such as succession planning, superior workforce development, key employee retention, organization design, job profiles and change management.

v  Support HR Head to manage employee communication and feedback through such avenues as company meetings, suggestion programs, employee satisfaction surveys, one-on-one meetings, and Intranet use.

v  Manage a process of organizational planning that evaluates company structure, job

v  design, and personnel forecasting throughout the company. Evaluate plans and changes to plans as it relates to workforce management and make recommendations to executive management.

v  Identify and monitor the organization’s culture so that it supports the attainment of the company’s goals and promotes employee satisfaction.

v  Participate in a process of organization development to plan, communicate, and integrate the results of strategic planning throughout the organization.

v  Keep the executive team informed of significant problems that jeopardize the achievement of company goals, and those that are not being addressed adequately at the line management level.

v  Attend to any other strategic responsibility assigned by the Head HR and MS Executive.

 

HR Metrics &Analytics

v  Organize, compile, update company personnel records and documentation

v  Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off, daily attendance and leave management.

v  Maintain and update HRMS

Administration

v  Create reports for senior managements, generate monthly Management business Reviews, collate and publish monthly stack ranking reports, monthly Hr Analytics and Data.

v  Generates daily Admin expense list, and other administrative reports required on a daily and monthly basis

v  Assist the Admin officer in keeping track of all routine vehicle reports, Diesel Generator reports and timely servicing and maintenance, purchase of parts, for company’s official and status vehicle.

v  Determine and schedule regular repairs, renovation projects, waste reduction improvements, as well as Health, Safety, and Environment (HSE) inspections.

v  Ensure that the quarterly routine maintenance of company vehicles and equipment (e.g. a/c, cars, generator etc.) is carried out.

v  Ensure all appliances i.e. phone lines, lighting, air conditioner, printers, copiers, computers and scanners are in good working condition.

v  Ensure effective and efficient facility management.

v  Compile and monitor daily and weekly cleaning schedules

v  Supervise the cleaners to ensure cleanliness for all facilities, equipment, instruments i.e. the admin block, factory, toilets, machinery etc.

v  Ensure the efficient and effective management of the guest houses, company housing and all assets.

v  Ensure prompt payment of all utility bills i.e. PHCH, Telephone, and LAWMA etc.

v  Ensure that reasonable maintenance and supply costs are maintained through effective negotiations.

v  Prepare expense and cash vouchers, and ensure that the Admin. Expense and Petty Cash Priority List is updated daily; with accurate periodic submission to Finance and management

v  Liaise with service vendors and monitor the job contracted to them.

v  Manage drivers’ deployment and administration

v  Ensure all management cars and pool cars are maintained efficiently by drawing up a maintenance schedule and following it. Also ensuring that vehicle-papers are renewed promptly.

v  Ensure that transport activities are managed efficiently and with minimized cost

v  Ensure efficient and effective inventory-management and supply-logistics for Office Provisions, Stationery, and Consumables.

v  Maintain a comprehensive and accurate filing system on Administrative matters.

v  Maintain accurate Asset Register in alignment with Accounts/Finance department records.

v  Collaborate with the head of HR/Admin department to ensure that the company’s health and safety regulations are adhered to by all employees.

v  Liaise effectively with all government agencies and regulatory bodies.

v  Assist with compilation and submission of the monthly expatriate returns to the Nigerian Immigration Service.

v  Conduct quarterly fire drill.

v  Compile weekly activity report on Admin matters for HR/Admin department report.

v  Undertake additional tasks or projects as assigned by the head of Department, or authorized officers

Expatriate management

v  Ensure accurate monthly Expatriate Quota Returns are submitted and signed by the relevant authorities at the end of each month

v  Support the management all Expatriates and ensures all their documentation is up to date (visa renewals etc.)

v  Liaise with relevant immigration officials and keep abreast of immigration laws 

 

JOB REQUIREMENTS
